Rental Coordinator

The rental coordinator’s primary responsibility is to identify specific needs of existing or potential customers (internal and external) and provide solutions that ensure profitability through total customer satisfaction, as defined by the customer.  Counter and Parts experience a plus but not necessary. We will train the right individual

Job Responsibilities

Rental:

  • Answer rental calls and assist customers with their specific needs, closing deals, scheduling and assigning of hauling equipment if requested.
  • Set up rental documents, billing, invoicing and open all rental service work orders.
  • Monitor rental planned maintenance (PM), overtime billing and abuse billing.
  • Serve as the point of contact for vendors and internal personnel for all rental and hauling equipment needs. Perform customer service to ensure needs are met.
  • Provide assistance to the salespeople and technicians with rental orders and services.
  • Maintain filing and keeping all files up to date.
  • Perform various other duties as assigned and required.

Hauling:

  • Schedule the daily hauling runs and provide assistance to the hauling drivers.
  • Process hauling logs, invoicing, billing and maintain filing.
  • Perform various other duties as assigned and required.
  • Provide assistance to each member of the rental team and assist the hauling drivers.

Essential Skills:

Job Responsibilities

General:

  • Check-in and keep accurate paperwork of rented and returned equipment
  • Clean all Interiors and Exteriors of equipment and place equipment in the yard.

 Service Manager

The Service Manager is responsible for operating the service department at the most efficient and profitable levels. As the direct point of contact for both internal and external customers, the Service Manager is responsible for directing and supervising the daily activities of the shop, field, and service staff, with the goal of ensuring customer satisfaction through timely and accurate completion of repair and maintenance work orders. Timely customer response and timely invoicing with detail is critical.

RESPONSIBILITIES

  • Schedule all shop & field service work and assign technicians to specific jobs. Oversee all work to ensure work is completed to customer’s satisfaction.
  • Answer incoming calls from customers; provide technical advice, advise customers of estimated repairs, costs and expected completion of work.
  • Charge out all work orders internal & external, in a timely, profitable manner.
  • Maintain and produce accurate records of discussion or correspondence with customers, vendors and associates.
  • Sees that shop field tickets and work orders are properly handled, proper entries are made concerning time and overtime and parts and equipment used are accounted for.
  • Supervises the quality of work performed and sees that standards of performance are maintained. Performs annual reviews with each technician.
  • Sees that a proper library of manuals, service bulletins, instructions and references for mechanics, equipment and service operations is maintained and properly used.
  • Notifies the status of current progress of jobs for the sales and rental department, along with activity updates to management.
  • Work with customers to resolve any complaints/issues.
  • Recruit, interview and hire any new Service Technicians as needed. Mentor existing staff and drive a spirit of cooperation and teamwork.
  • Develop and monitor ongoing training and retention programs for existing technicians.
  • Develop and implement processes and procedures to improve operational efficiency.
  • Maintain a safe and compliant working environment.
  • Maintain current driver log files and inspection files all service vehicles and portable rental equipment.
  • Purchase and maintain supplies and services for use in the shop & field.
  • Ensure company assets are maintained for optimum reliability, safety, while controlling costs.
  • Work closely with the parts department on delivery, pricing, and returns.
  • Work closely with the sales and rental department to provide technical and repair support.
  • All other tasks as identified by supervisor

Requirements
